DeerDawn ("we", "our", "us") respects your privacy. This policy explains how we handle data.

1. Data Minimization

Our architecture is designed to minimize data retention. Decision logs are stored only for the duration required for audit trails as configured by the customer.

2. No Training on Customer Data

We do not use customer data, decision payloads, or policy configurations to train machine learning models or improve our services. Your data is used solely to provide the decision engine service you have contracted for.

3. Data We Collect

We collect and process the following categories of data:

• Account Information: Email address, organization name, and billing details required for service delivery
• Decision Data: Action types, policy evaluations, and decision outcomes as submitted via our API
• Technical Data: API request metadata, IP addresses, timestamps, and performance metrics
• Usage Information: Feature usage patterns and aggregate analytics to maintain service reliability

Decision payloads may be redacted based on your organization's configured redaction mode (strict or permissive). We strongly recommend enabling strict redaction mode to prevent sensitive PII from being stored in audit logs.

4. Data Retention and Deletion

Decision logs are retained according to your organization's configured retention policy, with a maximum of 90 days for Standard plans and up to 2 years for Enterprise plans. You may request earlier deletion of specific decision records through the dashboard or API.

Upon account termination, all customer data including policies, decision logs, and configurations are permanently deleted within 30 days unless you request immediate deletion or we are required to retain data for legal compliance.

We maintain audit logs of administrative actions (API key creation, user management, policy changes) for security purposes for up to 1 year, even after account deletion, to support fraud prevention and security investigations.
